How to use the pre-registration function


The pre-registration function is designed to allow family members to pre-register students not yet registered within the management system. It should not be used for students already registered to enroll in subsequent years.


Accessing the pre-registration function


  1. Log in as a coordinator or administrator.


  1. Enter the desired school.


  1. From the side menu, select Students and click on Pre-registration.


Settings of the pre-registration page


• Once you enter the Pre-registration section, you will initially see an empty list that will show the pre-registrations received in the future.


• In the top left, you will find a dropdown menu next to the yellow icon; by clicking on the arrow, you can access:


• Link:


• View the link to share with family members.


• You can generate a QR code to integrate into your site or distribute to family members.


• The link opens a public form that does not require a password.


• Settings:


• Initial message: Modify the introductory message of the pre-registration page.


• Confirmation email: Customize the text of the email that parents will receive at the end of the pre-registration.


• Document upload:


• You can upload one or more documents (e.g., regulations, membership form).


• You can require family members to download and re-upload signed documents during the form completion.


• Mandatory fields:


• The fields First Name and Last Name for the student and family member's record are always mandatory.


• You can make additional fields mandatory by selecting them from the list.


• It is advisable to limit mandatory fields to the minimum necessary.


Form preview


• Click on the light blue button Preview to see how the form will appear to family members.


Managing received pre-registrations


  1. The received pre-registrations will appear in the list sorted by date (from most recent to least recent).


  1. For each pre-registration, you will see:


• Request date


• Student's name


• Family members' names


• Request status: “Accepted” or “Pending”.


• A yellow icon under the Review entry to view the details of the pre-registration.


• A red trash icon to delete the pre-registration.


Reviewing and accepting a pre-registration


  1. Click on the yellow icon next to the pre-registration to view its details.


  1. From this page, you can:


• Click on Import to convert the pre-registration into a student record.


• Activate the switch Send access credentials to family members to automatically send the credentials, provided a valid email has been provided.


Status of accepted pre-registration


• Once accepted, the pre-registration will show next to the student's name the green text Accepted.


• By clicking on this text, you will directly access the newly created student record.
