What is the lunch product and how is it used

The lunch product is a feature of the Easy.School management software that interacts with the daily lunch registration carried out by educators. It is designed to charge a cost for each lunch consumed in a post-paid manner. For example, if you want to charge a cost of 5 euros for each lunch, the software can automatically calculate the meals consumed during the previous month and insert them directly into an invoice received or a proforma.

How to create the lunch product

Access the product administration page

Go to the menu Administration → Products.

Click the New button at the top right.

Configure the product

Product type: In the first dropdown menu select Lunch product.

Internal product name: Enter a descriptive name that will be visible only to you (e.g., “Meal”).

Short name: Enter a name that will be visible on the invoice (e.g., “Lunch” or “Meal voucher”).

Description: This is optional; generally, for the lunch product, student or family variables are not required.

Amount: Enter the cost of the lunch, for example, 5 euros.

VAT rate: Select the applicable VAT rate and specify whether the entered amount includes VAT or not.

Reference period:

Previous: Shows on the invoice the reference period (first and last day of the previous month).

Hidden: Does not display the reference period on the invoice.

Using the lunch product

The lunch product can be used in two main ways:

Manual

During the creation of a manual invoice, select the lunch product and manually enter the quantity of meals consumed by the child.

Automatic via package

Create a package and include the lunch product.

The software will automatically calculate the number of lunches consumed in the previous month and insert them into the invoice associated with the student.

Difference between lunch product and consumable product

Lunch product:

Used for billing in a post-paid manner (after consumption).

Example: Invoicing meals consumed the previous month.

Consumable product:

Used for billing in a pre-paid manner (before consumption).

Example: Selling meal vouchers or prepaid meal packages.

By following this guide, you can configure and use the lunch product to efficiently manage the billing of meals consumed by students.
