How to Issue a Credit Note


To issue a credit note, you must start from the original document (invoice or proforma) to which the credit note refers. Below are the steps to follow:


1. Access the Original Document


  1. Go to the Administration → Sales → Issued menu.


  1. Search for the document for which you want to issue a credit note.


• You can use the filters at the top to speed up the search (e.g., customer name, invoice number, date, etc.).


2. Duplicate the Document


  1. Once you have located the document, click the Duplicate button next to the original document.


  1. A new invoice identical to the original document will open.


3. Change the Document Type


  1. In the top left, click on the dropdown menu related to Document Type (next to the yellow triangle icon).


  1. Select Credit Note from the available list.


  1. The system will automatically update the document numbering and add the references of the original document for which you are issuing the credit note.


4. Verify and Modify Information


  1. Check all the information on the credit note:


• Amount


• Quantity


• VAT rates


• Description of the product or service


  1. Important Note: The credit note must be issued with the same addressee as the original document.


• If you are correcting errors in the header data (e.g., tax code or name), you must still issue the credit note with the incorrect data present in the original invoice.


• After issuing the credit note, you can issue a new invoice with the correct data.


5. Issuing the Credit Note


  1. Once all information has been verified, click the Save or Save and Send button at the top right.


  1. The credit note will be saved in the document register and can be sent to the customer.


Useful Tips


• Always ensure that the amount of the credit note exactly matches the total or the part of the original document that you are reversing.


• In case of doubts or errors, contact support to ensure the correct management of tax documents.
