How the Abandonment Alert Works and How to Configure It

What is the Abandonment Alert


The Abandonment Alert is an automation from Easy.School that, at a time set by the facility, checks which children are neither marked as present nor absent and sends a notification to their parents.


It serves to intercept cases where a child does not arrive at school without the family having communicated the absence: a situation that may hide a misunderstanding (who was supposed to bring them did not) or a forgetfulness.


Note: the Abandonment Alert does not report children who have entered but whose exit has not been recorded. It exclusively checks for the lack of registration of entry and absence.



How the Check Works


For each section, a time and the days of the week in which the check should occur are set.


At the set time, for each configured section, the system performs these checks in sequence:


  1. Check that it is not a closing day for the facility. If the day is a closing day, the check stops and no notification is sent.
  2. Check that at least one entry has been recorded for at least one child in that section. This condition avoids false alarms: if no child from the section has entered, the system assumes that the section is not operational and does not send notifications.
  3. If both conditions are met, the system examines all students in the section and identifies those for whom neither an entry nor an absence is recorded.
  4. For each of these students, a notification is sent to the parents.



Who Receives the Notification and How


  • The notification is sent exclusively to the child's mom and dad. It is not sent to other family members associated with the student record, nor to educators.
  • The sending channels are two:


    • Email
    • Push notification on the Easy Family app, which arrives only if the parent has installed the app and enabled notifications.
  • The message text is standard and not customizable. It invites the parent to check where their child is and to contact the school.




Where to Find It


This setting is found on the coordinator side (light blue menu):

How to Access the List of Automations


Step 1 – Open the Automations Section


  1. Log in to the management system with a coordinator account and enter the desired facility.
  2. In the light blue menu on the left, click on "Settings" to expand the submenu.
  3. Among the submenu items, click on "Automations".



Step 2 – Read the List


The Automations page will open, with a list of all automations configured for the facility.


At the top of the page, in red, the notice reads:


"Changes take effect the next day"


Above the list, you will find two search tools:


  • Search Field: to search for an automation by name.
  • Dropdown Menu "Type": to filter the list by type of automation.



The table lists, for each automation, the following columns:


  • Name – the name assigned to the automation.
  • Type – the type (e.g. Abandonment Alert, Activity, Entry, Exit, Snack, Lunch).
  • From – start date of validity.
  • To – end date of validity.
  • Active – indicates whether the automation is active (Yes) or not.
  • Detail – present for the Abandonment Alert: the eye icon opens the history of generated alerts.
  • Edit – the pencil icon opens the automation for editing.
  • Duplicate – the two overlapping sheets icon creates a copy of the automation.
  • Delete – the red trash can icon deletes the automation.



At the bottom of the table, you will find pagination controls: Items per page and arrows to navigate between pages.



How to Create or Modify the Abandonment Alert


Important: each facility can have only one active Abandonment Alert automation. If there is already a row in the list with Type = Abandonment Alert, modify that one instead of creating a new one.


Step 1 – Open the Automation


If the automation already exists: click on the pencil icon in the Edit column, on the row of the Abandonment Alert. The "Edit Automation" screen will open.


If you need to create it from scratch: click on the "+ New" button at the top right. The "New Automation" screen will open.


The screen consists of two steps, indicated at the top: 1. Parameters and 2. Sections.


Step 2 – Fill in the Parameters


In the first step, fill in the following fields:


  • Automation Name (mandatory field) Enter a name that identifies the automation. Example: Abandonment Alert
  • Select a type (mandatory field) Click on the dropdown menu and select "Abandonment Alert".
  • From (mandatory field) The date from which the automation is valid. Click on the calendar icon to the right of the field to select the date. Tip: set the start date of the school year.
  • To (mandatory field) The date until which the automation is valid. You can also use the calendar icon here. Tip: set the end date of the school year. Remember to update it every new year, otherwise the automation will stop working.
  • Active Toggle that enables or disables the automation. If it is green with a checkmark, the automation is active. Click on it to deactivate.



After filling in the fields, click the green "Next" button at the top right.


To cancel and return to the list, click the red "Back" button.


Step 3 – Configure the Sections


In the second step, the table of all sections of the facility is displayed, with the columns:


  • Section – the name of the section.
  • Time – the time and days when the check occurs for that section. If it has not yet been configured, the label "Not Set" appears.
  • Edit – the pencil icon opens the time configuration window.
  • Delete – the red trash can icon removes the time configuration of the section, which returns to "Not Set".



Attention: sections that remain on "Not Set" are excluded from the check. No alert will be generated for those sections.


To configure a section, click on the pencil icon on the corresponding row.


Step 4 – Set Time and Days in the "Generate" Window


A pop-up window titled "Generate" will open, with:


  • Start (mandatory field) The time at which the check should occur for that section, in hh:mm format. You can type it directly or use the clock icon to the right of the field. Example: 09:00
  • List of days of the week: Monday, Tuesday, Wednesday, Thursday, Friday, Saturday, Sunday. Each day has a toggle on the right:


    • green with a checkmark = the check occurs on that day;
    • red with an X = the check does not occur on that day.



Click on the toggles to activate the opening days of the facility and deactivate the closing ones.



Click the green "Save" button to confirm, or "Cancel" to close without saving.


You will return to the sections table, where the newly configured row will show the set time and active days (in black the active days, in light gray the deactivated ones).


Repeat the operation for all sections you want to include in the check.


Step 5 – Save the Automation


After configuring all desired sections, click the green "Save" button at the top right.


To return to the Parameters step, click the red "Back" button.


Remember: changes to automations are effective the next day. If you configure the Abandonment Alert today, it will start working tomorrow.



How to Consult the History of Sent Alerts


  1. Go to Settings → Automations.
  2. On the row of the Abandonment Alert, click the eye icon in the Detail column.



The Abandonment Alert page will open, with two filters at the top:


  • Students: dropdown menu to filter alerts related to a specific student.
  • Date: field with a calendar icon to select the date. The "X" icon on the right resets the filter.



The table below lists the columns Date, Time, Student, and Adult.


If no alert has been generated for the set filters, the message "No matches" will appear.


To return to the list of automations, click the red "Back" button at the top right.



Practical Tips


  • Choose the time with an adequate margin. The check time should be set after the closing of the entry time, with a reasonable margin. If you set it too early, you risk alerting parents of children who are simply late.
  • Different times for different sections. If the sections have different entry times (for example, infants and older children), set a check time for each that is consistent with its entry time.
  • Update the dates every school year. If the date in the To field has passed, the automation will no longer generate alerts even if the Active toggle is green.
  • Check that parents have notifications active. The email always arrives, the push notification only if the parent has the Easy Family app installed and notifications enabled.

Frequently Asked Questions


Does the Abandonment Alert also report children who have not yet exited at the end of the day? No. The check exclusively concerns the lack of registration of entry and absence. It does not verify exits.


Can I modify the text of the message sent to parents? No, the text is standard and not customizable.


Does the notification also go to grandparents or other family members associated with the student? No. The notification is sent exclusively to the child's mom and dad.


Can I set different times for each section? Yes. The time and days are configured individually for each section.


What happens to the sections that I leave on "Not Set"? They are excluded from the check: no alert will be generated for those sections.


I just configured the automation: does it work already from today? No. Changes to automations are effective the next day.


If no child from a section has entered, do the parents of the entire section receive the alert? No. If at least one entry is not recorded in the section, the system does not send any notification for that section.


If the day is set as a closing day for the facility, does the alert still trigger? No. The system first checks that it is not a closing day.


What happens if a parent communicates the absence after the check time? The notification has already been sent. The alert captures the situation at the set time.


Can I temporarily deactivate the Abandonment Alert without deleting it? Yes. Open the automation for editing and deactivate the Active toggle in the Parameters step, then save. The deactivation will be effective the next day.
